



Job Posting: Apothecary and Administrative Assistant
I’m hiring! I’m currently managing a growing number of herb orders and administrative tasks and could really use help. Can you join me? This is a part-time role (5-10 hours/week) that combines hands-on work in the apothecary (in Chester Basin, NS) and administrative computer-based support (can be done from anywhere).
I’m looking for an extremely organized, kind, and detail oriented person with excellent communication skills and some basic training in herbal medicine. You’ll get to work with herbs, support clients and students, and help keep everything running smoothly—all while learning more about herbalism and having access to my online class recordings if you like. I strongly value inclusivity and need someone who can be welcoming and respectful to all kinds of people (I work with many people in the LGBTQ+ community as well as those from diverse racial and ethnic backgrounds).
Essential Responsibilities:
Apothecary (in-person in Chester Basin, NS)
Fill and shipping tea and tincture orders
Assist with making tinctures and other preparations as needed
Track apothecary inventory and ordering supplies
Help tend the herb gardens.
Administrative (remote possible)
Support with invoicing and basic bookkeeping
Manage and organize emails, draft replies, and communicate with me as needed.
Assist with student/client inquiries including herb orders, scheduling appointments, and class registration.
Help with other administrative tasks such as working with Google Forms, formatting newsletters, minor website updates (Squarespace), etc.
Work within a project management system (Upbase) to complete tasks.
Maintain confidentiality and handle sensitive information with care and professionalism.
Absolute Must-Haves:
Highly detail oriented and precise.
Familiarity with Latin and common names of herbs, or willingness and ability to learn these quickly to prevent errors in filling orders.
Strong attention to cleanliness and consistency in following apothecary procedures (e.g., sanitizing, labeling, lot tracking).
Excellent written and verbal communication skills.
Strong tech-savviness and familiarity with various digital tools, including email platforms, digital calendars, and program management software.
Accountability and reliability to meet deadlines and complete assigned tasks accurately.
Kindness and a friendly demeanor when interacting with me and/or clients/students.
Motivation to deliver exceptional support and ability to receive feedback with an open mind.
A solid high-speed wi-fi connection and a reliable computer (for any remote work).
LGBTQ+-friendly mindset and respect for diverse perspectives and identities.
Demonstrated trustworthiness and ability to handle confidential information securely.
Would be Nice to Have:
Prior experience as an assistant or in a similar administrative role.
A year or more formal training in the field of herbal medicine, and/or or clinical work.
Proficiency in managing multiple tasks and priorities effectively.
Problem-solving ability: you can identify solutions independently and suggest additional ways to streamline processes or to take things off my plate.
Familiarity with basic graphic design tools would be a plus.
Able to drive with flexible access to a car.
Experience with tending gardens and harvesting plants.

Google suite including docs, sheets, gmail, calendar, and slides
Sender for newsletters
Practice Better for electronic health records
Squarespace for website
Upbase for project management/to do list
Canva, Facebook, Instagram for social media
Snapship for shipping
You do not need to be familiar with all of these, but you should be confident that you can learn them quickly with some guidance.
Details & How to Apply:
Pay is $20-25/hour based on experience and skillset.
Hours may vary from week to week. I estimate that the job will take 5-10 hours/week and can guarantee you a minimum of 5 hours per week. This could grow over time.
This position combines in-person and remote work. Apothecary management and filling orders requires 2-6 hours per week and needs to be done in-person in Chester Basin. The rest can be done remotely if desired.
There is a 3-month trial period to make sure this is a good fit on both ends. After that, I am looking for someone committed to long term work–a year or longer.
Looking for someone who can start ASAP.
An NDA will be required to begin work.
